Docyment Quickstart Guide: From Registration to Your First Letter in Minutes

Getting started with new software can feel overwhelming. That’s why we designed Docyment to be simple and intuitive — so you can save time and focus on patient care.

This guide will walk you through four steps to get up and running with Docyment. Each section includes a step-by-step walkthrough, space for screenshots, and a video tutorial you can watch directly.


Step 1 — Register and Get Started in Seconds

How to register:

  1. Go to docyment.com.
  2. Click “Start Free Today” or use the Sign In button (top right).

  1. At the login screen, select Sign Up.
  2. Register quickly using your Google account, or enter your name, email, and password.

  1. Check your inbox for the confirmation email (don’t forget your spam folder).
  2. Click the link to activate your account.
  3. On your first login, select your specialty and language — this helps the AI personalise letters.
  4. You’ll land on the Dashboard, ready to add patients.

Step 2 — Add a Patient with Just a Few Clicks

How to add a patient:

  1. From the Patients Dashboard, click “Add Patient” (top right).
    OR
    From the Main Dashboard, click the + sign in the patient panel.
  2. A simple form will appear. Enter at least the First Name and Last Name.

  1. Optionally, add details like Date of Birth or Contact Information.
  2. Click Create Patient — the patient is saved and auto-selected in your dashboard.
  3. Use the patient menu anytime to edit details or archive a patient.

Step 3 — Use Templates to Save Even More Time

How to use templates:

  1. Go to the Templates Dashboard.
  2. Choose from two options:
    • Template Library (pre-built by Docyment, organised by specialty).
    • Create Template (make your own).

  1. In the library, click a template on the left to preview its content.
    • If you like it, press Add to My Templates.

  1. To create your own:
    • Click Create Template.
    • Enter a name (this appears on your letters).
    • Add your preferred structure.
    • Use the AI Assistant to generate a draft template instantly.
    • Edit as needed, then Save.
  2. When writing a letter, simply select your chosen template for consistency.

Step 4 — Create and Finalise Your First Letter

How to create a letter:

  1. From the Main Dashboard, select your Patient.
    • New patients show a “new” badge.
    • For returning patients, Docyment automatically references past letters for context.
  2. Choose a Template (clinic letter, operative note, report, etc.).
    • You can switch later without losing work.

  1. Add your notes using one of four options:
    • Dictate directly (fast updates).
    • Record the consultation (capture everything).
    • Write or paste existing notes.
    • Upload handwritten notes (photo, scan, or PDF — Docyment transcribes automatically).
Making a Letter
  1. Press Process Letter.
    • The AI generates a draft with structure and context.
    • Progress messages keep you updated.
  2. Review your draft in either Text View (editable) or Formatted Preview.
    • Edits save automatically.
  3. Once ready, click Next Patient to reset and continue your clinic.
